    Job Overview.

    We are looking for an experienced Document Controller/Administrator who will be responsible for systematic and accurate management and control of all incoming and outgoing drawings, documentation, and material submissions. 

     

    This role will also support the day-to-day administrative operations of our London Design Team and report to the Director.

     

    Primary Activities:

    • Control the inward receipt and outward transmittal of project drawings and documentation on all projects, using the applicable document control systems in accordance with Company standards.
    • Maintain and administer document control procedures for assigned projects in accordance with the Company’s e-document management system procedures and standards.
    • Work closely with the Design team to ensure effective workflow management and timely transmittal of project drawings and document deliverables.
    • Prepare, capture, and maintain transmittal sheets, document registers, records, and archive for individual projects.
    • Serve as liaison between disciplines and design team, as well as any 3rd parties involved as necessary, ensuring timely and clear communication regarding all document control matters.
    • Manage dispatch, receipt, recording, distribution, and filing of documents in both electronic and hard copy formats as per Company standards and document control procedures.
    • Carry out other project coordination and administrative duties as required for assigned functions and projects, including maintenance of quality management protocols.
    • Provide administrative support and coordinate office maintenance.

     

    Technical Competencies 

    • Ability to use organisational, administrative and project management skills combined with high level of thoroughness and diligence.
    • Ability to maintain the Company’s document control database for multiple projects with varying level of complexity and size in accordance with the Company’s standards.
    • Strong computer & IT skills including electronic document management systems and very good knowledge of MS-Office.
    • Excellent knowledge and practice of HSE and QA/QC policies, systems, and ISO standards, compliance, and audit requirements.
    • Have a good grasp of design, technical engineering drawings, and documentation.
    • Able to interpret technical drawings/briefs and documentation, specifications, reports, proposals, contracts, and tender documents.

    Additional Information

    • Minimum 5 years of relevant administrative and document control experience with a landscape, architectural or engineering practice
    • High level of proficiency in spoken and written English
